Kids party venue checklist: what to ask before booking
A party venue can look right in a photograph and still be a poor fit for your group. Before paying a deposit, compare the arrangements that affect the day itself: the children’s ages, how the space is used, food, supervision and the complete cost.
Use this checklist when contacting any venue. Start with our party venue directory or the Cape Town venue section, then confirm the details directly with the provider.
Start with your group
- How many children will attend, and what are their ages?
- How many adults and siblings are likely to stay?
- Will guests need step-free access, accessible toilets, quieter space or particular food arrangements?
- What is your total budget, including optional extras and food for adults?
Keep children and adults as separate numbers. A package for twenty children does not establish the venue’s maximum occupancy or how many accompanying adults it allows.
Ask what the package includes
Request an itemised written quote. Check the duration, activity time, room or table allocation, food, drinks, decorations, cake arrangements and staff assistance. Find out whether setup and packing time fall inside your booked period.
- Is the room exclusive, or do other visitors use the activity area?
- Are entry, equipment, required socks or other activity items charged separately?
- May you bring a cake, food or decorations, and are there additional charges?
- Are there minimum guest numbers or extra-guest charges?
- How are dietary requests handled, and what must you arrange yourself?
Confirm activities and supervision
Age guidance can differ between activities at the same venue. Ask which activities your youngest and oldest guests may use, whether there are height or equipment restrictions, and who is responsible for supervising children. Staff assistance and parent supervision are different arrangements; establish what the venue actually provides.
Plan for the day
Check the exact entrance, parking, arrival time, toilets and seating for adults. For an outdoor venue, ask what happens in bad weather. For an indoor activity venue, ask about other visitors, noise and the route between the party room and activities. Confirm whether accessibility information matches the needs of your guests.
Before you pay
